The Nathaniel Dett Chorale Privacy Policy

The Nathaniel Dett Chorale acknowledges the individual's right to privacy and is committed to protecting the confidentiality of its patrons' personal information. The Nathaniel Dett Chorale's privacy policy reflects the safeguards recently standardized in the Personal Information Protection and Electronic Documents Act (PIPEDA), which took effect January 1, 2004.

What is Personal Information?

As defined by PIPEDA, "Personal information is any factual or subjective information, recorded or not, about an identifiable individual. It includes: age, name, weight, height; medical records; ID numbers, income, ethnic origin, or blood type; opinions, evaluations, comments, social status, or disciplinary action; and, employee files, credit records, loan records, existence of a dispute between a consumer and a merchant, intentions (for example, to acquire goods or services, or change jobs.) Personal information does not include your job title, telephone number or address, anything that might appear on your business card, or can be found through publicly available information such as the telephone book."

The Nathaniel Dett Chorale collects personal information in order to complete patron requests and orders. Depending on the nature of a patron's relationship with The Nathaniel Dett Chorale, such information may include the following: home address, phone number(s), fax number(s), e-mail address(es), credit card number(s), date of birth, name(s) and age(s) of spouse/partner and/or dependents, familial relationships, a complete record of all tickets purchased and donations made, requests for brochures, and preferences or special needs identified by the patron, such as special-access seating or hearing assistance devices. Consent for the collection, retention and use of personal patron information is implicit when patrons provide such information.

Why do we need this information and how do we use it?

We also may contact ticket buyers at least once every year to obtain feedback, update information and offer the opportunity to become more closely associated with The Nathaniel Dett Chorale. However, we are committed to ensuring that patrons and donors do not receive an unreasonable number of letters or phone calls.

Please note that sponsorship plays a vital role in funding our operations and helps to keep costs down. Our sponsors may sometimes ask us to share special promotions with our patrons or to canvass them for research concerning the effectiveness of their The Nathaniel Dett Chorale sponsorship. Sometimes, as a service to our patrons, The Chorale may also distribute information regarding related cultural organizations.

The Nathaniel Dett Chorale never discloses the personal information. However, occasionally, The Chorale will exchange lists of ticket buyers' names and addresses only with other like-minded arts organizations. This exchange happens only through a third party data and mailing service, so that neither organization has access to the lists. The contracted third party must comply with strict data privacy standards, including rules and guidelines of federal privacy legislation, and is required to destroy the information supplied after one use. Should you wish not to have your name shared please contact us and we will ensure that you are not included in any of those list trades. Only authorized The Nathaniel Dett Chorale staff, or its agents, such as the TicketMaster, or The Toronto Centre for the Arts may have access to patron information. These agents are bound by contract to The Nathaniel Dett Chorale privacy policies and procedures. The Nathaniel Dett Chorale does not exchange names and address for the purposes of fundraising.

How is this information stored?

Personal information is stored in our databases and in hard copy files. Only authorized theatre and box office personnel have access to this information. Any personal information that is no longer required to fulfill its intended purpose will be destroyed or made anonymous.

Can you get access to your information?

Should you require access to your information please contact the General Manager at 416-340-7000 and information will be provided to you within 30 days. Direct requests for access to personal information will only be released to persons that share an account in The Chorale's database; persons for whom you have provided written notification that personal information be released to; persons providing copies of power of attorney and the courts as instructed by warrant.

Online Security

The Chorale uses Paypal to administer its online store and box office. It employs a secure server using encryption to ensure the secure exchange of information between our patrons and our server. The system supports 40, 56 and 128 encryption on virtually all web browsers. Once information is processed by Paypal, The Chorale is notified of your order is fulfilled, no financial information is transmitted.
